Event attendee question handoff with a clear answer owner
Preserve unanswered event questions, assign the right expert, review claims, and close the loop with the attendee.
Event attendee question handoff
Capture an unanswered question in the attendee's words and assign one response owner before the event context disappears. Include enough context to answer accurately without exposing unrelated participant data.
Record event, session, time, topic, question, presenter response, attendee contact preference, promised follow-up, due date, and responsible owner. Distinguish public questions from private requests.
Preserve the original meaning
Keep the exact question and note any clarification the attendee supplied. Do not shorten it into a different product, policy, security, commercial, or implementation question.
If the wording includes sensitive account context, restrict access and prepare a minimal working summary. The expert should still be able to see the relevant source under appropriate permissions.
Route by answer authority
Send product behavior to the product owner, contractual matters to the authorized commercial or legal owner, security questions to security, and customer-specific issues to the account team. Name one coordinator for tracking.
A speaker's confidence does not create authority outside their subject. Mark provisional comments clearly and prevent them from becoming reusable approved copy.
Build and review the response
Answer the question directly, include necessary qualifications, and link approved documentation when useful. Separate what is known now from what still needs investigation.
Review factual claims, customer details, commitments, attachments, and destinations before sending. Avoid turning a requested answer into unrelated sales outreach or adding urgency the attendee did not create.
Send through the appropriate channel
Use the contact path and audience agreed during registration or the conversation. Confirm the recipient, sender, subject, accessibility, links, and reply route.
When the answer belongs to the whole audience, publish it only after editorial and subject review. Do not reveal who asked a private question without permission.
Close and reuse carefully
Record delivery, response, remaining question, owner, and closure time. Follow up on returned messages and reopen the item when the answer was incomplete.
Tag recurring questions for documentation, enablement, or future event planning, but preserve source and approval. Reuse the answer only while its evidence, scope, and owner remain current.
