GTM analytics access review with least privilege
Review GTM analytics access on a cadence with least privilege, an inventory of users, and an accountable owner instead of permanent broad access.
GTM analytics access review
Analytics access should match the job a person does today, not an old role they once had. Review the user inventory, the dashboard scope, and the export rights on a set cadence with a named owner.
Overshared analytics access increases the risk of a data exposure and makes it harder to know who approves an export. Least privilege keeps each person on the views and fields they actually use.
Inventory the users
List every person with access, their role, the view or report scope, and the reason for access. Rebuild this inventory on a regular cadence so it reflects the current team.
Mark inherited, departmental, and contractor access so the review is not only about named employees. A stale inventory hides access that outlives the role.
Define role scopes
Assign each role a defined set of dashboards, fields, and export rights. A dashboard reader should not have raw export or billing data unless the workflow requires it.
Publish the role scopes beside the access policy. Scopes change only through the accountable owner with a recorded reason.
Review exports and use
Scan export and download activity for report types the review cannot explain. Confirm that external exports follow the approval and retention rules.
Review dashboard viewers at least monthly and revoke access at role changes. Route a suspected unauthorized export through the accountable security owner.
Remove stale access
Revoke access for departed people and for roles that no longer need a view. Record the removal and the requester so the inventory stays current.
Coordinate removal with the system owner so a revoked user loses the active session, not only the login entry. Confirm the person cannot re enroll through an old role.
Close the access record
Reconcile granted, unchanged, and revoked access against the inventory at each review. Keep the review evidence under the approved retention policy.
Version the role scopes when they change and preserve the prior definitions. Treat broad standing access as an exception that requires a documented owner.
