Marketing consent exception review before outreach
Handle unclear permissions conservatively with traceable evidence, accountable escalation, controlled suppression, and verification across every system that could activate the contact before scheduled campaign audience release with accountable review.

Contain unsafe outreach
When permission is unclear, prevent the contact from entering the affected send through an approved, narrow, reversible suppression. Do not delete the record or rewrite consent to stop one campaign. Open an exception with identifier, channel, current values, source, campaign, owner, and deadline.
Trace source evidence
Find the form, preference center, contract, event record, transfer, import, or system event. Capture exact language, time, channel, notice version, collection method, and later withdrawal. A checkbox without origin is insufficient. Never infer consent from job title, company relationship, public information, or prior outreach.
Check system precedence
Map how CRM, marketing, product, preference, sales, and warehouse systems represent subscription and suppression. Identify the authoritative system and propagation path. Preserve the most restrictive active instruction during review unless policy says otherwise. Coordinators should never bypass suppression because another screen appears favorable.
Route a specific decision
Present evidence, ambiguity, proposed handling, audience, send time, and containment to the authorized privacy, legal, or compliance owner. Ask a precise question. Record decision, maker, rationale, scope, effective time, and remediation. One exception must not silently become universal policy.
Repair record and source
Apply the approved change with before-and-after evidence and verify propagation before release. If evidence remains incomplete, retain the conservative state. Fix the source of ambiguity, such as unclear form language, missing notice version, import mapping, partner process, preference sync, or manual entry.
Audit the pattern
Review exceptions by source, channel, age, resolution, campaign, and repeat cause. Measure containment and decision time without rewarding approval volume. Maintain guidance on what staff may verify, must never infer, and must escalate. Deadlines should never become unofficial permission policy.
Use recurring cases to improve source capture and staff training, but keep legal interpretation with the authorized owner. A campaign team should be able to see that a record is held and where the review stands without gaining access to private evidence it does not need.
Test the exception route before major sends. Confirm that a marketer can place a hold, find the accountable reviewer, and see a decision before the audience cutoff. Confirm that expired holds do not release records automatically unless approved policy explicitly supports that behavior. A well-designed control makes the conservative action easy and visible. It does not ask frontline staff to choose between meeting a campaign deadline and respecting an unresolved permission state.

Frequently asked questions
Can a coordinator decide consent validity?
No. Coordinators gather evidence and apply controls; authorized policy owners interpret requirements.
Should an unclear record be deleted?
No. Preserve evidence and apply approved suppression while review occurs. Deletion can remove the history needed to understand the permission state and may not stop another system from recreating the contact. Follow the company's retention and privacy process, record the hold, and let the authorized owner decide any separate deletion request.
