Product release note GTM handoff

A product release note GTM handoff translates approved product facts into instructions that customer-facing teams can use. It should state what changed, who can use it, availability, known limits, and the product owner.

The handoff is not permission to improve claims for effect. Marketing and sales can adapt format and context while keeping behavior, scope, prerequisites, and availability aligned with the approved source.

Anchor every statement

Link each material statement to the release record, documentation, test evidence, or named product owner. Mark items that remain planned, limited, experimental, or dependent on configuration.

Remove unsupported comparisons, outcome promises, and broad labels that the evidence does not establish. When the source is ambiguous, return a precise question instead of filling the gap with familiar category language.

Define the eligible audience

Specify editions, regions, roles, accounts, devices, integrations, and rollout groups that can access the change. Include the date or event that controls availability when release is staged.

Give sellers a safe response for ineligible accounts and a route for exceptions. A release note should not encourage teams to imply access that the product cannot currently provide.

Assign channel versions

List the approved destinations, such as documentation, customer email, in-product notice, sales brief, or partner update. Name an owner and reviewer for each version because channel constraints can change meaning.

Preserve one shared fact block across versions and date every approved derivative. If a channel requires shorter language, the reviewer should choose what to omit without removing a material limitation.

Prepare questions and rollback

Collect likely customer questions about access, migration, support, data, and existing workflows. Route answers to product, support, security, or legal owners rather than asking the release coordinator to invent policy.

Document how GTM teams will be notified if rollout pauses or guidance changes. Include which assets must be withdrawn, which audiences need correction, and who confirms that outdated language is no longer active.

Confirm the handoff

Require receiving teams to acknowledge the source, approved language, audience, effective date, and escalation path. Store the final links where operators can find the current version during customer conversations.

Sample live assets and enablement after release for message drift. Correct discrepancies at their owned source and record the replacement so old copies do not continue circulating without context.
