Quote expiration exception routing with commercial control
Route expired quote requests through a controlled review of scope, pricing, approvals, validity, and buyer communication without silently reviving old terms.
Quote expiration exception routing
Quote expiration exception routing gives sellers a defined path when a buyer asks to use terms beyond their validity period. Capture the quote identifier, expiry date, requested change, buyer reason, and response deadline.
Treat the request as a new commercial decision, not a clerical date edit. The original quote stays intact while authorized owners decide which terms can remain and what must be refreshed.
Lock the original record
Preserve the issued document, configuration, prices, discounts, taxes, currency, approvals, and delivery assumptions. Link the opportunity state and correspondence that explains when the buyer received the quote.
Do not reopen an approved file and replace its date. A new version should reference the expired quote so reviewers and the buyer can see which commercial record is being reconsidered.
Recheck current conditions
Ask product, finance, legal, security, and delivery owners to review only the conditions relevant to their authority. Confirm availability, cost, policy, implementation timing, and dependencies that may have changed.
Mark unchanged items explicitly and explain changed items with their source. A seller's desire for continuity does not establish that inventory, service capacity, exchange rates, or approved language remain valid.
Choose the right decision path
Route a simple validity extension only when policy permits it and every affected owner confirms no material change. Otherwise create a revised quote and run the approvals required for its current terms.
Name the final commercial approver and record the decision period. Avoid collecting informal approvals in separate chats where the operator cannot tell whether the complete package was reviewed.
Communicate the outcome precisely
Tell the buyer whether the old quote remains expired, has an authorized extension, or has been replaced. State the new validity period and highlight material changes without implying that unreviewed terms survived.
Use the approved document as the source of truth and withdraw stray copies. If the decision misses the requested deadline, the account owner should provide a status update without promising approval.
Close the exception
Attach the decision, approvals, issued version, buyer communication, and system updates to the exception record. Confirm that forecasting and order processes reference the valid document only.
Review recurring exception reasons to improve standard validity periods or sales guidance. Do not use frequency as a reason to bypass approvals that protect pricing, delivery, or legal commitments.
