Sales call recording access audit for responsible reuse
Audit who can find, open, export, share, and reuse recorded sales conversations while preserving legitimate working access.
Sales call recording access audit
Start with the approved purposes for recording and the people who need access for those purposes. An audit should remove unnecessary exposure without interrupting authorized coaching, follow-up, support, or review.
Inventory platforms, storage locations, integrations, exports, shared links, transcripts, clips, and derived notes. Include owners and retention settings so the review covers copies, not only the primary library.
Define the access standard
Document role-based needs, geographic or contractual limits, consent requirements, retention, sharing, export, and deletion rules with the appropriate legal and privacy owners. Keep policy decisions outside the coordinator role.
Translate the approved standard into testable conditions. For example, specify which role may search, view, download, create clips, share externally, or administer integrations.
Collect current access evidence
Export or inspect users, groups, roles, guests, service accounts, public links, and integration permissions. Record the observation time and system because access can change during the review.
Compare actual permissions with employment, team, customer, and vendor status. Avoid circulating participant names or conversation content in the audit file when identifiers and permission evidence are sufficient.
Review risky reuse paths
Check whether recordings feed training tools, note systems, content workflows, customer proof, or external vendors. Confirm that each use has an approved purpose, access boundary, and retention treatment.
A recording available to sales does not automatically authorize marketing reuse. Route proposed clips, quotations, or model training to the responsible consent, privacy, legal, and content owners.
Correct access with control
Remove stale accounts, narrow groups, expire links, rotate shared credentials, or disable exports through approved administration paths. Test that required users retain access after each material change.
Keep before and after evidence, approver, execution time, and exceptions. Escalate platform limitations rather than claiming a permission was removed when another route still exposes the material.
Close and schedule the next review
Reconcile reviewed identities and access paths, then document unresolved owners, retention work, and vendor actions. Verify a sample from each corrected path using an authorized test account.
Repeat the audit after team changes, tool migrations, policy updates, or new integrations. Ongoing ownership prevents a one-time cleanup from becoming a stale assurance.

Frequently asked questions
Should every seller access every call recording?
No. Access should follow an approved role and purpose, with narrower controls for exports, sharing, and administration.
Does deleting the main recording remove every copy?
Not necessarily. Review transcripts, clips, exports, integrations, backups, and derived systems under the approved retention process.
