Win loss interview coordinator guide for unbiased follow through
How a coordinator can schedule, document, and route win loss interviews while keeping analysis with the right owner.

win loss interview coordinator
Win loss work often fails before the interview. Nobody confirms which deals qualify, who may contact the buyer, or where consent and notes belong. A coordinator can make those steps reliable without deciding in advance why the team won or lost.
Freeze the sample criteria with the research owner. Include the decision date, segment, deal type, outcome, account owner, contact eligibility, and any sensitive context. Do not let reps nominate only friendly wins or painful losses. The selection should reflect the question the study is meant to answer.
Build the eligible-deal ledger
Confirm who should make the introduction and whether the account team has an open issue with the buyer. The invitation should explain the purpose, expected time, recording choice, and how comments may be used. Do not promise anonymity unless the process can actually protect it.
Track invitations, replies, declines, scheduled calls, and completed consent in one place. A decline is a valid outcome, not a reason for repeated pressure. If the buyer asks to speak through the account owner, record that constraint and let the research owner decide whether the interview still fits.
Write the invitation around the study
The invitation should explain who is conducting the interview, why the team is asking, how long it should take, and how the material will be handled. Do not ask the account executive to lean on the relationship. A buyer who declines should leave the sequence without repeated persuasion.
Use a question path, not a verdict
Prepare the interviewer with deal facts and a question guide, but hide the internal theory when it would lead the conversation. The coordinator can verify names, dates, products, and promised follow ups. They should not rewrite a buyer's criticism into language that feels easier for the company.
Store the recording or notes according to the agreed permission. Distinguish direct statements from interviewer interpretation. Return attributed passages to the participant for review when that was promised. A clean record gives the analyst room to compare cases without guessing what the buyer actually said.
Debrief before interpretation hardens
After the call, the interviewer and note taker should compare what they captured while memory is fresh. Disagreements stay visible in the record. The coordinator can repair missing labels or timestamps, but should not smooth two different recollections into one confident sentence.
Route themes without exposing accounts
Send product, sales, marketing, and service observations to named owners at the right level of detail. A broad summary may not need an account name. A customer repair may require one. Apply the consent terms and internal access rules before circulating a memorable quote.
Close each interview with status for follow ups, participant permissions, and open questions. Later, audit the sample for gaps. If only enthusiastic customers responded, say so in the analysis. Coordination should make limitations visible rather than polishing a partial set into certainty.
Close the participant record
Record the consent scope, storage location, access rule, and retention decision beside the interview. Then mark outreach complete. The research owner can reopen analysis later without leaving the participant in an active sales follow-up queue.

Frequently asked questions
Should the account executive conduct the interview?
Usually an interviewer with some distance gets a more candid conversation. The account executive can provide context and make the introduction without leading the questions.
Can a coordinator analyze the findings?
The coordinator can prepare clean records and track themes. The named research or GTM owner should make cross-interview interpretations and state sample limitations.
