Put Go-To-Market Strategy And Revenue Operations Document Expiry on a Review Clock
Track time-limited GTM approvals and documents with a responsible owner, renewal lead time and a clear response when validity is uncertain.

Identify the documents that gate real work
Begin with the materials a campaign, event or partner launch depends on: an approved asset-use window, a current partner authorization or a dated review of customer-facing material. Record which activity relies on each document. A list of dates without dependencies does not tell the team what needs attention first.
Distinguish an explicit expiry date from an internal review date. Do not invent an expiry when the document has none. The responsible owner determines the applicable requirement; the coordinator records the source and flags uncertainty.
Create a review record with enough context
Capture the document name, controlled location, current version, relevant date, owner, dependent activity and renewal contact. Include the last verification date so the team can see how recently the record was checked.
Keep sensitive files in their approved repository and link to them with appropriate permissions. The tracker should help the authorized owner act without becoming an uncontrolled copy of every underlying document.
Work backward from the needed approval
Ask the owner how long review and replacement usually take, then schedule reminders before the dependent activity. Allow time for missing information and a second review where needed. A reminder on the expiry date may be too late for a launch scheduled the next morning.
Name a backup contact for an unavailable owner. Track requested, received, under review and accepted states separately. Receiving a file does not prove that the authorized reviewer has accepted it for the intended use.
Example: a partner asset has a limited use window
Illustrative case: a partner-approved logo asset may be used during a defined campaign period. The coordinator records that window and notices that the planned follow-up email falls after it. The partner owner is asked whether the use can be extended or the asset must be replaced.
The coordinator does not assume a grace period. The campaign owner decides how to proceed using the confirmed permission and updates the affected work. The record links the decision and the current approved asset.
Verify the replacement and close the loop
When an updated document is accepted, confirm its version, applicable dates and scope. Update the dependent team’s link and identify superseded copies that could still be used by mistake. Preserve required history under the organization’s document rules.
Keep unresolved items visible with an owner and next action. If validity remains uncertain, route the dependent work to the accountable owner for a decision rather than quietly extending the date in the tracker.
