Prevent Duplicate GTM Payments Before Release

Prepare a clear review of potentially duplicated campaign invoices while keeping payment approval and resolution with finance.

Prevent Duplicate Go-To-Market Strategy And Revenue Operations Payments Before Release

Recognize a possible duplicate without deciding the payment

A campaign coordinator may receive the same supplier request through a project thread and an accounts-payable inbox. Flag the relationship before forwarding another payment request. Finance determines whether the obligation is already settled and what action is appropriate.

Compare supplier identity, invoice reference, amount and the work being billed. Check the available payment history through authorized records. Similar amounts alone do not establish duplication, while a changed invoice reference does not necessarily establish a new obligation.

Preserve the evidence for finance review

Keep the original documents and link the suspected match. Do not change an invoice reference merely to clear a duplicate warning. Include known payment channels so finance can check whether the same obligation appears in more than one workflow.

Ohio’s SAFE Manual illustrates these control concerns in its state-agency context. Its specific rules apply to those entities. A commercial GTM team should follow its own finance-approved procedures rather than treating the state policy as a universal payment rule.

Example: a campaign supplier sends a reminder

Illustrative case: the campaign owner receives a reminder for a webinar-production invoice. A colleague remembers forwarding an earlier copy, but cannot tell whether it was approved, scheduled or paid. The coordinator links both messages and asks the finance owner for the current status.

The campaign record also identifies the event and delivered work, helping finance distinguish this reminder from another event with the same supplier. The coordinator tracks the response and keeps the supplier conversation with the authorized owner; memory of a prior email is not treated as proof of settlement.

Record the outcome and repair the handoff

Once finance resolves the match, record the approved outcome and relevant reference in the controlled workflow. If a duplicate payment is confirmed, finance owns the recovery process and its documentation.

For the campaign team, the practical improvement may be a single intake route and a clear status link for supplier questions. Confirm who acknowledges receipt and who answers payment-status requests. This reduces repeated forwarding while preserving the evidence finance needs to make its decision.
