Build a Go-To-Market Strategy And Revenue Operations Intake Record That Preserves Evidence

Capture campaign and launch requests with enough context to route them accurately and preserve the original request.

A professional handshake

Start with the requested outcome

Ask what needs to be delivered, where it will be used and who needs it. Link the campaign, account or launch initiative that gives the request context. Preserve the original message even when a coordinator prepares a cleaner summary.

Separate the requested date from a confirmed delivery commitment. Intake records what the requester needs; the delivery owner confirms scope, priority and timing after reviewing the work.

Collect the inputs that determine routing

Capture the requester, relevant audience, intended channel, current source asset and required approval. Note dependencies such as partner permission or a product detail that has not been confirmed. Keep unknown fields explicit.

Use requirements appropriate to the request type. An event invitation may need a time zone and registration destination, while a sales asset update may need an approved product change. Avoid demanding unrelated fields simply because a form supports them.

Check identity, version and access

Confirm that links point to the intended asset and that the receiving team can open them. Identify the current approved version and distinguish reference material from material authorized for publication.

Check for an existing request with the same outcome before creating parallel work. Link possible duplicates for owner review, preserving any different deadlines or additional scope. Similar wording alone is not enough to merge two requests.

Example: a campaign brief arrives in chat

Illustrative request: a sales colleague asks for a revised partner email in a chat thread. The coordinator records the intended audience and requested send date, then discovers that the linked offer is an outdated draft.

The request remains awaiting an approved offer. The coordinator asks the offer owner for the current source and records the response in the intake entry. The copy team receives a clear brief once the source is available rather than being expected to infer the missing terms.

Return a clear next step

Acknowledge the request with its tracking reference, current state and named next owner. If information is missing, ask a specific question and explain which work depends on the answer. Make the status visible through the agreed channel.

Review recurring incomplete requests to improve guidance at the point of submission. Keep the original evidence and dated corrections together so a later scope discussion can distinguish what was requested initially from what changed.
