Map Shared Inbox Ownership for Go-To-Market Strategy And Revenue Operations Work

Group messages by the work they require

Review the types of messages the inbox receives: campaign requests, partner questions, asset approvals, event inquiries and supplier follow-ups. Define a route for each common type and a route for messages that do not fit.

Keep the map short enough for the person covering the inbox to use during triage. A category should point to an action or responsible team, not merely describe the sender. Record where sensitive or restricted messages need separate handling.

Separate first response from decision ownership

Name who acknowledges receipt, who prepares the answer and who can approve a commitment. Define coverage hours and backup responsibility using the team’s actual arrangement. Avoid promising a response time the team has not agreed to support.

Make assignment visible in the shared workflow so two people do not reply independently. Preserve the message thread and relevant context when handing work to another team. A forwarded email is not a confirmed transfer until the recipient accepts the action.

Define waiting states and closure evidence

Track whether a message is awaiting information, review or an external response. Give each waiting item a next-check date and responsible owner. Keep unresolved requests visible when the inbox is cleared or a message is archived.

Specify what closes each request type: an accepted answer, approved cancellation or confirmed transfer to another workflow. Record outstanding limitations rather than marking a thread complete because someone sent a holding reply.

Example: a partner asks to change launch copy

Illustrative request: a partner emails a last-minute wording change. The first responder acknowledges the request and links the current approved copy. The message is assigned to the campaign owner, with review by the person responsible for the product claim.

The inbox record stays open while approval is pending. After the decision, one designated person communicates the accepted wording and confirms that the publishing owner has the correct version. The map prevents both a premature promise and two conflicting replies.
