Coordinate a GTM tool transition with a clear inventory of users, integrations, shared records and owner-approved access changes.

Review Go-To-Market Strategy And Revenue Operations Access Before a Tool Consolidation

Inventory how the old tool is used

List the teams, active users, external collaborators and recurring workflows that depend on the tool. Include integrations, shared links and scheduled exports. Ask the system owner to provide authorized access records rather than relying only on a list remembered by the project team.

Identify the records that must remain available and the business owner for each workflow. Keep sensitive configuration details in their approved location. The transition tracker should point to the right evidence without exposing credentials.

Map the intended access in the replacement

Have responsible owners define which roles need which capabilities in the new system. Compare that approved design with the migration proposal. A technical ability to copy old permissions does not establish that those permissions remain appropriate.

Track requests, approvals and verified access separately. The coordinator prepares the comparison and follows up; system and security owners approve and perform access changes through the established process. Keep unresolved differences visible before the transition decision.

Check the work before retiring the old route

Use authorized test records to confirm that the receiving team can find the required material and perform its assigned task. Check that expected integration handoffs reach the intended destination. Record failures and the owner responsible for resolving them.

Agree the transition date, temporary overlap and fallback decision with the responsible owners. Do not remove the old route merely because the new tool is reachable. Its dependent workflows and approved record-handling requirements must be addressed.

Example: consolidating campaign asset folders

Illustrative transition: campaign files move from a project tool to a shared asset library. A partner had access through an old link, while the new library uses named invitations. The coordinator records the difference and asks the owner to confirm the intended partner access.

After authorized changes, the receiving team checks the current approved assets and updates the workflow links. The system owner confirms what happens to old access and integrations. The coordinator preserves that confirmation and tracks any remaining exception until the responsible owner closes it.
