Build a GTM Vendor Onboarding Evidence Packet
Assemble a vendor start packet that makes approved scope, required reviews, access and acceptance visible.

Build the packet around the agreed work
Link the approved scope, deliverables, start conditions and named internal owner. Include the vendor contact and the review path for changes. Distinguish the person coordinating onboarding from the person authorized to accept the engagement.
Use the organization’s approved checklist to identify required records and reviewers. Requirements differ by engagement, so do not assume every vendor needs the same documents or that a completed folder automatically authorizes work to begin.
Track review status separately from document receipt
For each required item, record whether it has been requested, received, reviewed or accepted, with the responsible reviewer. Link the current version and identify unresolved questions. Receipt of a document is not evidence that its contents have been approved.
Keep finance, legal, security and other specialist reviews in their established processes. The coordinator follows up on missing decisions and preserves their references without making specialist judgments on behalf of those teams.
Prepare access and the first handoff
List the systems, folders and information the vendor needs for the agreed task. Route access requests to the authorized owners and record what was actually granted. Share only the approved material through the designated channels.
Confirm how the vendor submits work, who reviews it and what acceptance looks like. Set the first check-in around a real deliverable so missing context or permissions can be resolved before they affect a larger commitment.
Example: onboarding a webinar-production partner
Illustrative packet: a webinar partner receives the approved event brief, production contacts, delivery milestones and asset handoff instructions. The internal owner confirms that required engagement reviews are complete before the agreed start.
An unresolved recording-access request is tracked separately with its owner and next date. The partner can prepare approved materials within the accepted scope while the team resolves that dependency. The packet records the actual limits of readiness rather than marking every item complete to meet a calendar date.
