Partner marketing fund evidence that supports review
Prepare partner marketing fund evidence with preapproval, permitted spend, delivery proof, and a complete reconciliation trail.
Partner marketing fund evidence
Build the evidence pack from the approved activity, budget, dates, market, audience, and reimbursement rules. Proof of payment alone does not show that the permitted activity occurred.
Name the partner owner, internal approver, activity owner, finance reviewer, submission deadline, and authoritative agreement. Keep commercial decisions with authorized owners while a coordinator assembles the record.
Preserve the preapproval
Save the accepted proposal, covered line items, caps, exclusions, required branding, measurement plan, and approval date. Link later scope changes to a new decision.
Do not assume an informal message expands the agreement. If the actual activity differs, route the variance before presenting it as eligible spend.
Collect delivery evidence
Match each approved activity to dated assets, placements, attendee or distribution evidence, final URLs, and responsible owners. Use aggregate evidence where individual data is unnecessary.
Screenshots should show relevant delivery context without exposing private customer or participant information. Preserve source files and identifiers so reviewers can validate what the image represents.
Reconcile financial records
Map invoices, receipts, credits, taxes, currency treatment, payment status, and allocation to approved line items. Explain partial delivery, bundled charges, and differences from the planned amount.
Keep finance records in the approved system and share the minimum needed with reviewers. A coordinator should not classify an ambiguous expense without the accountable finance or partner owner.
Check claims and brand obligations
Verify final assets against accepted names, marks, messages, disclosures, destinations, and regional requirements. Preserve approval for any claim or customer reference included in the activity.
Separate delivery proof from performance interpretation. Collected clicks or registrations may show activity response, but they should not be described as revenue impact without an approved measurement basis.
Submit and close the record
Reconcile approved, delivered, invoiced, eligible, submitted, rejected, reimbursed, and unresolved amounts. Record the submitted version, recipient, time, questions, decisions, and final status.
Review repeated variances before the next partner activity. Better briefs, clearer eligible-cost rules, and earlier evidence capture reduce disputes without weakening the required review.

Frequently asked questions
Is an invoice enough evidence for partner funds?
Usually not. Match financial evidence with the approved activity, actual delivery, applicable requirements, and final reconciliation.
Who decides whether a changed expense is eligible?
The authorized partner and finance owners should decide against the governing agreement. The coordinator should surface and document the variance.
